LYS Saturday Report & Gala Update January 26th, 2008

Greetings!

I know you get tired of me, but don't stop reading!  If you do nothing else, fill out and email me the form under "Gala Fundraiser" below ASAP.

I MUST hear from EVERYONE. Thanks!

This is Julie Gardner, Managing Director, 435.723.8262, LincolnYouthSymphony@gmail.com or GJulieKay@juno.com.

Website: http://LincolnYouthSymphony.googlepages.com

Remember to email me if you will not be coming or you will be leaving early. You may not know it, but I take roll every week!

There is also new information below about Abravanel Hall under "upcoming dates."

Gala Fundraiser: Friday, February 8th, 2008

I went to the Chamber of Commerce Fundraiser & Auction last Saturday. It was incredibly well organized, and I hope people had fun... But I think our dinner will be more fun than theirs!

Remember, you have two tickets each and you must treat them like money . Every ticket must be accounted for (or I'll get in trouble!). Final count needs to be in to the caterer one week ahead, so January 31st.

This means I must hear from you. Copy the following form, paste it into an email, fill it out, and send it back to me at LincolnYouthSymphony@gmail.com

Name:
LYS Instrument:
Phone:
Number of Tickets I've already turned in money for:
Number of Tickets I've already collected money for:
Additional Tickets I expect to sell:
Total Number of Tickets (add the three above numbers):
I have a service, item, or idea for the Auction/Door Prizes:

I have attached the bulletin board information again in case you need it. When you print it, be sure your printer is set to "landscape."

Remember our menu is a Dutch oven dinner with a choice of pork spare ribs or barbeque chicken, Dutch oven potatoes, glazed carrots, salad, roll, and cobbler for dessert. It's going to be well worth it, and fun. So sell those tickets!

Ticket details:

  • For the LYS musician who sells the most tickets, there will be a $20 gift check to the store of your choice.
  • Please email me with how many tickets you've sold.
  • We can sell up to 200 tickets for the 6:00 dinner, and we've only handed out about 140. If you have people and need more tickets, call or email me, and I will get tickets to you (mail or drop off).
  • LYCO musicians are selling tickets too, and competing for their own $20 prize.
  • Right now, I have only received money for 4 tickets... Argh!  Now is the time to make this happen.
If you know someone who will donate an item or service that can be auctioned or used as a door prize, go for it! We can give receipts for tax-deductible donations. Several moms are also contacting local businesses for donations of door prizes and auction items -- Thanks, ladies!

My mother-in-law sent
a quilt. I'm bringing it to LYCO today to show it off!

We will need people to help set up, serve food, and clean up. Everyone is expected to participate in some way. Those who didn't sign up at the last rehearsal will be contacted by telephone with an assignment.

The entertainment is important as well. Here are some details:
  • It will be "background" music, so people will not be expected to stop visiting while you perform.
  • It does not necessarily need to be classical. However, any entertainment must be cleared with me.
  • I will need the name(s) of performer(s), approximate length of time, and the title/style of what you are doing so we can create a pleasant program with a nice flow.
  • If you have another talent you would like to share, we ask that it be music oriented and that you keep it clean... NOTHING even REMOTELY off-color.
  • This is a great opportunity to perform for a more casual audience. This can be solo & ensemble music, or simply a practice performance opportunity.
If you have ideas or questions or wish to be involved in a large or small way, please contact me GJulieKay@juno.com or our fabulous board member and Gala chairperson Tamera Terry office@infovets.com.

Thanks to Cindy Child for working with the winds on the Tchaikovsky.

Big Announcement:
James
announced the Board's decision to have only one conductor for LYS, and that Abravanel Hall will be his last concert with us. We realize that May would have probably been his last concert with us anyway, but we will still miss him very much. We wish you all the best, James, in your bright future!  You will be a great teacher at the new High School in Salem, and you will make great strides as you continue your Masters Degree at BYU.

John also officially announced, for anyone who didn't know, that his wife Misa is expecting twins in June... or May! Congratulations.

We also signed up for jobs at the Gala Fundraiser. We expect everyone to contribute, so if you didn't sign up we will be contacting you.

Second Violins brought treats. I know it was good. I saw Orange Juice, and Cups, and heard about Bagels. I never actually went and ate! I must have been busy. Thanks to the Second Violins. They know how to bring treats!

Membership Fees

I mailed membership information packets to people that I suspected hadn't received one, and I hope to have all membership fee issues resolved very soon. Perhaps we'll even find out who the unallocated membership fee belongs to! (See below)

VERY IMPORTANT:  Unallocated Membership Fee: We still have one fee that was paid in September and the last name on the check was Anderson; we are not sure who to credit that payment to . If it was you, or you have an idea of who it might be from, please let me know! Thanks. :)

Grocery Certificates

If you email me back with what you'd like, I can have grocery certificates at the next rehearsal for you. I will only have them at rehearsal if you prearrange for them. Please participate in this program. It is a painless way to raise money for the youth symphony. More information at http://LincolnYouthSymphony.googlepages.com. LYS Gala Update & Saturday Report Jan 19th, 2008

Greetings!

I sent this a few minutes ago, and it seems to have met with catastrophic failure! Rather frustrating... so, here goes another attempt. :)

Gala Fundraiser: Friday, February 8th, 2008

Remember, you have two tickets each and you must treat them like money . Every ticket must be accounted for (or I'll get in trouble!), and all checks and cash that you have collected so far must be turned in at the next rehearsal. Final count needs to be in to the caterer one week ahead, so January 31st.

We have a menu! The Dutch oven dinner will be a choice of pork spare ribs or barbeque chicken, dutch oven potatoes, glazed carrots, salad, roll, and cobbler for dessert. It's going to be well worth it, and fun. So sell those tickets!

Ticket details:

  • For the LYS musician who sells the most tickets, there will be a $20 gift check to the store of your choice.
  • Please email me with how many tickets you've sold.
  • We can sell up to 200 tickets for the 6:00 dinner, and we've only handed out about 140, so I will have more tickets next Saturday.
  • It's okay if you sell extra tickets - bring the money and I'll trade it for tickets - but if you've sold a whole bunch, let me know ahead of time!
  • LYCO musicians are selling tickets too, and competing for their own $20 prize.
  • I will keep a running total on the website, and we can see who the front runner is for the prize!
If you know someone who will donate an item or service that can be auctioned or made into a door prize, go for it! We can give receipts for tax-deductible donations. Several moms are also contacting local businesses for donations of door prizes and auction items -- Thanks, ladies!

My mother-in-law will be
donating a quilt - and maybe two quilts - who do you know that makes hand-crafted things?

We will need people to help set up, serve food, and clean up. Everyone is expected to participate in some way. Those who don't sign up at the next rehearsal will be contacted by telephone with an assignment.

The entertainment is important as well. Here are some details:
  • It will be "background" music, so people will not be expected to stop visiting while you perform.

  • This is a great opportunity to perform for a more casual audience. This can be solo & ensemble music, or simply a practice performance opportunity.
In a few minutes, I will be sending a separate email you can forward to people you might want to sell tickets to. There will be an attachment with a printable flyer suitable for a bulletin board in your music studio, for instance. Be sure to write your name and phone number in the blank so you can sell the ticket and get the credit!

If you have ideas or questions or wish to be involved in a large or small way, please contact me GJulieKay@juno.com or our fabulous board member and Gala chairperson Tamera Terry office@infovets.com.

LYS Saturday Report January 5th 2008

It's another Saturday Report on Wednesday!

This is Julie Gardner, Managing Director, 435.723.8262, LincolnYouthSymphony@gmail.com or GJulieKay@juno.com. Access past LYS Saturday Reports, fundraising information, calendar, membership, etc., by clicking "weekly rehearsal report" on the Lincoln Youth Symphony website: http://LincolnYouthSymphony.googlepages.com

Remember to email me about attendance. This means a missed rehearsal, or if you will be leaving early or coming late, and please be choosy about what constitutes a "good reason to miss."

For the most part, everyone has been fantastic about letting me know!

Commitment makes this orchestra thrive! Block out Saturdays for the year. Tell people you are already booked.

This is a long one, but be sure to look through the whole thing. Good information... and important, too!

Please add LincolnYouthSymphony@gmail.com to your safe sender's list. My emails may be coming from that address from now on.

Gala Fundraiser: Friday, February 8th, 2008

Julie's Personal Soapbox: When I played in the Salt Lake Symphony, I participated each year in their "Vienna Ball" which was a phenomenal event at the U Ballroom with BYU Ballroom Dancers and a huge silent auction. It turned into a very long night. All we seemed to hear about for weeks and months ahead of time was "Vienna Ball This" and "Vienna Ball That." It was not until I became involved in a symphonic organization at a deeper level that I realized how such a fundraiser took the stress off the rest of the year. A night when thousands of dollars came into the coffers put a stop to constant worry over how the organization would function over the upcoming year. Supporting ourselves also makes us look better and we will qualify more easily for grant money. This Gala is going to be our Salt Lake Symphony "Vienna Ball" without the walzes and polkas.

Please support us in this endeavor! We are looking for donations for the silent auction and the door prize(s). These can be small or large items, or theme baskets. Tickets will be numbered, and people need not be present to win (so they can buy a ticket to support the effort but they don't have to make it to the dinner.)

Please contact us if you have access to someone who will donate a large item that people will buy tickets for a chance to win it in a drawing!

We will begin selling tickets very soon for this evening of food and entertainment. Expect this to be the major fundraiser for the year; we know we can bring in much more than the measly $300 we made at the car wash last year.

Every musician will be expected to sell tickets, and also help out or participate in some way, either with the entertainment or other work. Prepare for a great opportunity to perform for an audience. This can be solo & ensemble music, or just a great performance opportunity. Gear up for a fun party! We will be teaming up with Lincoln Youth Chamber Orchestra and Lake Bonneville Community Symphony.

If you have ideas or questions or wish to be involved in a large or small way before we start making assignments , please contact me or board member Tamera Terry office@infovets.com.

Important Scheduling Changes:

We found out that our April 19th concert is the same night as MORP at BEHS. This would be a bad thing, so we changed the date to May 3rd and found out that it is the same night as Senior Cotillion (sorry if I spelled that wrong) at WHS.

SOOOOO.... We now have the BEHS auditorium for May 2nd. It's a Friday.
If there is a REALLY MAJOR problem with this, Please.... Let me know ASAP!

Upcoming dates and changes to remember:

January 19th, NO rehearsal. (That's week after next) Good luck to everyone in Allstate Orchestra!

February 2nd, NO rehearsal. This is UMEA and every music teacher in the state will be in St. George! This is a change from the original schedule.

February 16th, YES rehearsal. This is in exchange for the week off for UMEA. It's President's Day Weekend, and I'm sorry about that. Life can be tough sometimes! This is also a change from the original schedule.

March 1st, Concert at Box Elder HS Auditorium, tickets at the door: $1 -- children up to 11 and seniors -- $2 -- 12 and up.

March 10th, Abravanel Hall. More Information as I receive it.

******Date Changes are NOT YET REFLECTED on the WEBSITE.*******

Our Last Rehearsal: Saturday, January 5th, 2008

Despite the snow, we had a great turnout. It was a treat to have Clarinetist Cindy Child come work with our clarinet players. Thanks, Cindy!

We checked out Tchaikovsky's 4th Symphony (we'll be playing the 3rd movement). You should already have Hungarian Dance, Bacchanale, Beethoven's 5th, and Fugue in g minor in your folders.

Our Concerto Auditions went well with several musicians who had worked extremely hard and put forth an amazing amount of effort. For the March 1 Concert, our soloists will be Jana Gardner playing Mozart's 2nd Flute Concerto, 1st mvt, and Candace Child playing Marcello's Oboe Concerto in d minor. Congratulations, Ladies!

The Winds, Brass and Percussion brought treats, but only two people remembered (Thank you girls)! Next week it's up to the First Violins to get back into the swing of things and show us how it's done!

Our Next Rehearsal: January 12th, 2008

Our rehearsal time will again be 8:00 am for Strings only.

Winds, Brass and Percussion: Please come at 9:00 am

Remember: First Violins for treats. Sustenance. We love healthy refreshments!

Our Program for the Remainder of the Year:

No, we are not playing everything in your folders for the March 1 concert!
Here's the plan:

Concert, March 1st
  • Tchaikovsky 4th Symphony, Scherzo (3rd Movement)
  • Brahms Hungarian Dance No. 1
  • Mozart Flute Concerto in D (Not yet in folders)
  • Marcello Oboe Concerto in d (Not yet in folders)
Abravanel Hall Concert, March 10th
  • Tchaikovsky 4th Symphony, Scherzo (3rd Movement)
  • Brahms Hungarian Dance No. 1
  • Saint-Saens Bacchanale
Concert, May 2nd
  • Beethoven 5th Symphony, First Movement
  • Bach Fugue in g minor
  • Saint-Saens Bacchanale
  • Rimsky-Korsakov Capriccio Espagnol, First Movement (Not yet in folders)

Music Inventory

I'm going to leave this particular story here since we are so proud of it: The Friday before Christmas, Marsha Stokes and I did the bulk of the work moving twelve filing cabinets full of Golden Spike Music into my garage in Perry. 7 of them seem to be full of Orchestra music, and the other 5 seem to have Marching Band music in them. The music looks to be in good shape, and if it's not usable by us and the parts are all there, we may be able to sell it on Ebay or to local schools as a fund raiser.

But the point is: We are now ready for the music inventory. We can't use it if we don't know what's there! We need willing helpers, and if someone has a propane heater, my garage is frigid!

I know I had you pencil in January 19th for an inventory party, but I have found out that will not work for me. Sorry to change plans on you! We may do it on a couple evenings so we are not taking up so much family time on the weekends.

Please let me know if you have any suggestions.

Membership Fees

I will be meeting with the treasurer this week about Membership Fees.  If you have not paid or made arrangements for your membership fee, I will begin contacting each of you on an individual basis soon.

Thanks very much to those who have saved me the trouble by contacting me instead. You are a blessing in my life!

If you email me back of what you'd like, I can have grocery certificates at the next rehearsal for you. I will only have them at rehearsal if you prearrange for them. Please participate in this program. It is a painless way to raise money for the youth symphony. More information at http://lincolnyouthsymphony.googlepages.com.
